   This Privacy Notice explains how aiassistworks.com ("we", "us", or "our") collects, uses, discloses, and protects your information when you use our Google Workspace add-on  ("Service"). We are committed to protecting your privacy and ensuring that your personal information is handled in a safe and responsible manner.


2. Information We Collect

   We collect information to provide, maintain, and improve our Service and to communicate with you. The types of information we collect include:


   a. Personal Information

  • Account Information: When you sign up for an account, we collect your name and email address.
  • Payment Information: If you subscribe to our service, we collect payment information such as your credit card details and billing address. This information is processed by a third-party payment provider.


   b. Usage Data

  • Log Information: We collect log information about your visit to our website, including your IP address, access times, browser type, and pages viewed.
  • Device Information: We collect information about the devices you use to access the website, including the operating system and version.
  • Usage Logging: We collect anonymous logs of how users utilize our service, including which AI provider or model is used, the number of tokens used, the number of cells processed, and the input/output range in A1 notation format. This data is collected for the purpose of debugging, identifying issues, and improving our service.


   c. Cookies and Tracking Technologies

    We use cookies and similar tracking technologies to collect and store information about your visit to our website. This is used for personalization, advertising, and analytical purposes. You can opt out of these cookies through this link .


3. How We Use Your Information

   We use the information we collect for various purposes, including to:

4. Google API Services User Data Policy

   We comply with Google API Services User Data Policy, including Limited Use requirements, as follows:

   - We request data from Google using the following scopes:

  • https://www.googleapis.com/auth/userinfo.email: This allows us to manage your subscription and billing and to communicate with you. We may share this information with third parties such as Paddle (for subscription and billing) or a third-party email marketing platform to provide communication.
  • https://www.googleapis.com/auth/script.locale: This scope is used for analytical purposes to aggregate the number of users by country and to provide personalization such as billing data or language localization (in the future).
  • https://www.googleapis.com/auth/spreadsheets.currentonly: This enables us to access and process data within your Google Sheets and write back the results. We do not store any data accessed through this scope.
  • https://www.googleapis.com/auth/script.external_request: This allows us to call AI Providers to process data and get AI responses when you use features that require AI. We do not store any data accessed through this AI request except for anonymous analytical usage such as the number of tokens, model used, AI provider used, or error messages.

   - We adhere to the Limited Use requirements by:

  • Limited Use: Using the data only for the specific purpose for which it was requested and ensuring it is not used for additional purposes without user consent.
  • Human Review: We do not permit humans to read the data unless we have obtained the user’s consent, if it is necessary for security purposes, or if it is required for compliance with applicable law.
  • Third-party Sharing: Ensuring the data is not transferred to third parties except as needed to provide or improve our services, in compliance with Google’s policies.
  • Security: Implementing appropriate security measures to protect the data, including encryption and access controls.

 

Managing Access to Your Google Account

You can manage access to your Google Account at any time by visiting the Google Account Permissions page. Here, you can view and revoke access for apps and services that have access to your account data.


5. AI Providers' Privacy Policies

  • Third-Party AI Providers: Our AI providers, such as OpenAI, Anthropic, Google, and Groq, have their own privacy policies. By using their APIs through our Service, you agree to their respective privacy policies.
  •  AI Provider Aggregators: AI provider aggregators, such as OpenRouter, also have their own privacy policies, as well as the privacy policies for each of the AI providers they work with. By using their services through our Service, you agree to these privacy policies as well.


6. Sharing Your Information

   We do not share your personal information with third parties except as follows:


   a. Service Providers

      We may share your information with third-party service providers who perform services on our behalf, such as payment processing (Paddle), email delivery(Postmark), customer service (BoldDesk), and marketing platforms. These service providers have access to your personal information only to perform these tasks on our behalf and are obligated to protect your information under confidentiality agreements.

      We may also share information from Google Workspace content with AI providers to call AI APIs and receive responses when you perform actions that require AI in our tools. Only the information you select will be shared, and only for the purpose of getting an AI response. This does not include sharing personal information such as email addresses.


   b. Legal Requirements

      We may disclose your information if required to do so by law or in response to valid requests by public authorities, such as a court or government agency. We may also disclose your information to:

  • Comply with legal obligations.
  • Protect and defend our rights or property.
  • Prevent or investigate possible wrongdoing in connection with the Service.
  • Protect the personal safety of users of the Service or the public.


   c. Business Transfers

      In the event of a merger, acquisition, reorganization, or sale of assets, your personal information may be transferred as part of the transaction. We will notify you via email and/or a prominent notice on our website of any change in ownership or use of your personal information, as well as any choices you may have regarding your personal information.

   We implement appropriate technical and organizational measures to protect your personal information from unauthorized access, use, or disclosure.     Our Service is not intended for use by children under the age of 13. We do not knowingly collect personal information from children under 13. If we become aware that we have collected personal information from a child under 13, we will take steps to delete such information.
